Position Summary:

Under the supervision Claims & Compliance Manager, coordinate and administer workers’ compensation program, automotive, property and casualty claims.
Compliance gatekeeper for all regulatory, business licensing, and registration digital platforms (metrics tracking, safety & compliance), additional EHS & Company analytical platforms, and the gatekeeper for EHS 3rd party providers.
Receiving visitors & vendors by greeting, welcoming, directing pleasantly and professionally, and announcing them appropriately. Receiving packages and mail, notifying appropriate departments.
Primary Position Duties:
- Process and document all workers’ compensation claims and property & casualty claims, ensuring compliance with relevant policies, procedures, and legislation.
- Serve as liaison with external agencies and regulatory bodies in the claims administration and the care and disposition of claimants.
- In coordination with the Claims & Compliance Manager evaluate property and casualty claims to determine liability, damage and exposure.
- Elevate to the Claims & Compliance Manager larger, more complex claims.
- Assist the Claims & Compliance Manager, the Senior Director of EHS & Compliance, Human Resources, and Legal, in third-party claims, including negotiations and settlement when required.
- Reviews and evaluates all work-related accident reports for completeness and clarity of data analyzes data, as needed, to ensure compliance with policy and regulatory requirements.
- In conjunction with the Claims & Compliance Manager and Human Resources, assists with appropriateness and amount of workers’ compensation claims investigates individual claims for eligibility for workers’ compensation benefits ensures that all legal and procedural requirements are met for the processing of claims to ensure proper and timely payment to employees and medical facilities.
- Provide recommendations to the Claims & Compliance Manager in providing advice on workers’ compensation and property & casualty policies, legislation, regulations, and processes.
- Occasionally Liaison with the organization’s insurance broker and providers.
- Provides analytical information to the Claims & Compliance Manager for strategic planning aimed at reducing the incidence of workers’ compensation-related injuries.
- Review weekly Organizational Business Licensing Needs with a Licensing Specialist or Third-Party Vendor and work with all federal, state, and municipal agencies to ensure compliance and maintain current licenses and registrations
- Communicates and interacts with medical professionals, support agencies and others to monitor and assess the progress of rehabilitation efforts and to facilitate either return to work, job restrictions or, depending upon the medical status of the claimant, placement into appropriate alternative positions, ensuring compliance with all appropriate regulations and guidelines.
- Collaborate with Marketing, Logistics, and Business Licensing on any changes to the Storefront.
- Point of contact to set up or close down facilities service at locations (Utilities, Trash, Internet, etc.). Forward payment information to Finance.
- Prepares and ensures the accuracy of all necessary forms, records and documentation, including statistical analyses and reports, for all claims, as required by various regulatory agencies (internal & external, OSHA, Power BI, Samba, Support Portal, etc.).
- Ensures the accuracy of internal claims information for the workers’ compensation database and/or other claims data reports maintains the databases performs integrated data analyses and prepares reports.
- Schedules drug and alcohol testing for post-accident incidents as directed.
- Notify Human Resources about Driver’s License or Motor Vehicle Records (MVR) when needed to maintain regulatory or organizational compliance (via Samba).
- Provide reports and updates as requested or required to the appropriate departments.
- Make travel arrangements for EHS & Compliance Departments.
- Collaborate with Human Resources to develop and maintain training materials for EHS, Compliance, Safety, and regulatory requirements, including driver alert call-ins from the public (Samba)
- Process assigned property and casualty claims and perform other job-related duties as assigned.
- Administrative support for EHS, Risk, and Compliance, and during Emergency Events.
- Is available to fill in for the Insurance Claims Manager in their absence.
- Available to respond to visitors and vendor requests for entry at the Corporate Office.
- Performs miscellaneous job-related duties as assigned.

- Work Schedule 9 am – 6 pm Monday-Friday
- Ability to work extended or irregular hours/days (nights and weekends)
- Prolonged sitting at a computer workstation performing repetitive tasks.
- Ability to occasionally lift, push, or pull up to 25 lbs.
- Must have reliable transportation and a valid driver’s license.
- Ability to travel 10% of the time.
Education or Skills:
- Bachelor’s Degree in Business Administration at least four years of related experience in claims processing, investigations, litigation and/or risk management.
- Completed degree(s) from an accredited institution.
- One or more certifications preferred – Certified Medical Insurance Specialist (CMIS), Certified Risk Insurance Specialist (CRIS), Transportation Risk Insurance Professional (TRIP), Associate in Claims (AIC), or Associate in General Insurance (AINS).
- 4 years of experience in risk management, managing various claims processes.
- Ability to liaison with insurance carriers professionally.
- Ability to create and use databases and produce reports
- Data entry input skills must yield a high accuracy level
- Advanced experience in Compliance Management Systems
- Proficient in the use of Microsoft Office and customized digital platforms (Samba, Power Bi, Avetta, etc.)
- Advanced experience with Excel (including pivot tables), PowerPoint, and Word
- Proficient in the use of Avetta and IsNet Contractor Qualification Platforms.
- Advanced knowledge of Compliance (EHS, Risk & Compliance recordkeeping guidelines and regulations).
- Ability to work independently or with a team at all levels of the organization.
