Position Summary:

The Preconstruction Coordinator supports the end-to-end bid process for fiber construction projects, coordinating all internal and external inputs to produce complete, accurate, and timely bids. This role serves as the central point for receiving and tracking bid opportunities, gathering pricing and scope details, managing bonding requirements, and providing weekly bid-status reporting to leadership. Responsibilities also include reviewing and interpreting contract and bid documents to ensure fully compliant bid responses.

This role partners closely with Estimating, Operations, Contracts, Business Development, Finance, and Executive Leadership to ensure bids are competitive, complete, and compliant with all client requirements. The position is based in the Denver, Colorado area.

Primary Position Duties:

  • Bid Management & Coordination
  • Monitor public and private bid platforms, RFP portals, and client bid sites to identify and track new opportunities
  • Maintain a live bid log detailing bid name, client, due date, status, stage, and key milestones
  • Review bid and contract documents for a thorough understanding of bid requirements and responses
  • Coordinate bid schedules and internal deadlines to ensure timely submissions
  • Manage bid lifecycle stages including opportunity review, bid-no-bid, pricing, review, approval, and submission
  • Estimating & Pricing Support
  • Coordinate with internal Operations, estimating teams, and field leadership to develop accurate scopes of work
  • Collect labor, material, equipment, subcontractor, and vendor pricing
  • Track pricing requests and follow up to ensure all costs are returned on time
  • Assist with bid leveling, scope validation, and internal pricing review packages
  • Support risk assessment and contingency inputs as part of the preconstruction review process.?
  • Internal Operations & Cross-Functional Coordination
  • Serve as the primary liaison between Estimating, Contracts, Operations, Finance, and Business Development during the bid process
  • Gather required internal inputs including Operations manpower plans, schedules, production assumptions, and execution strategies
  • Ensure all required documents (license information, safety data, experience, bonding, resumes, etc.) are current and incorporated into proposals ?and RFP/RFQ responses
  • Reporting & Communication
  • Prepare and distribute weekly bid reports summarizing:
    • Active bids
    • Current stage (pricing, review, submitted, awarded, lost)
    • Upcoming deadlines
    • Risks or outstanding items
    • Analysis of bid results
  • Provide leadership with clear visibility into bid volume, workload, and near-term award potential
  • Maintain organized digital bid files and documentation for audit and reference purposes

Position Requirements:

  • Strong comprehension of contract documents, construction scopes, pricing structures, and bid processes
